Concept study
Private clinic enquiry system
A website and follow-up flow that collects consultation details, confirms the request and routes it to the correct service.
1 — The scenario
A private clinic with four practitioners and treatments that range from a routine appointment to a course of work costing several thousand pounds. Each treatment has a different consultation path, and two of them cannot be booked without a conversation first.
Enquiries arrive through one general form. Reception sorts them by hand between patients.
2 — The customer problem
This is a private decision, and often an uncomfortable one. Someone considering a treatment wants to understand it without announcing that they are considering it.
They want to know what it involves, roughly what it costs, who would carry it out, and whether they can ask a question without being sold to. A form that asks only for a name and a message tells them nothing about what happens next, so they close it and think about it again in a month.
3 — The page and workflow
The route runs from a treatment page to the right practitioner, without reception rekeying anything.
- A treatment page that explains the process and the honest price range
- A consultation request that names the treatment already being considered
- Questions that change to match the treatment selected
- A confirmation that says who will make contact and when
- The enquiry routed to the practitioner who handles that treatment
- The record kept in one place, with the next action assigned
4 — Key decisions
01
Route at the form, not afterwards.
The visitor already knows which treatment they are asking about. Capturing it at that moment removes an entire triage step and a day of delay.
02
Say who will be in touch, and when.
A confirmation naming a person and a working day converts far better than a thank-you page, because the visitor stops wondering whether the message arrived.
03
Publish ranges rather than nothing.
A clinic that shows no prices is filtered out early. A published range, with the consultation explained, keeps the enquiry and sets expectations before anyone spends time on it.
5 — What would be tested
- Form completion
- Booking completion
- Enquiry quality
- Response workflow
6 — Concept status
This study demonstrates an approach to strategy, copy, design and workflow planning.
It does not represent work commissioned by a client or results achieved for a real business.
