Who we are
Lanternvale builds websites and enquiry systems for service businesses. We are based in Bedfordshire, United Kingdom, and work with clients across the UK and internationally.
Lanternvale is the data controller for the personal information described on this page, which means we decide why it is used and how. You can reach us about anything on this page by emailing enquiry@lanternvale.co.uk.
This page explains what we collect when you use this website, why we use it, how long we keep it and what you can ask us to do about it.
What we collect
Nearly everything we hold about you is something you chose to send us.
When you send an enquiry through the form we collect:
- Your name
- Your email address
- The service you would like help with
- Your business name, if you give one
- A website address, when your enquiry is about a website or a review
- A description of the process or situation you want to improve, if you give one
- Your preferred timeframe, if you choose one
- Anything else you write in the message
We also record the internet address the enquiry was sent from, together with the date and time. That is used to stop automated abuse of the form and to keep the enquiry route working for genuine visitors.
When you book a discovery call, the booking calendar collects your name, email address, the time you choose and anything you add to the booking. That booking is handled by Cal.com on our behalf.
When you email, call or message us, we hold whatever your message contains.
If you allow analytics, we receive figures about how the website is used, such as which pages are opened and on what kind of device. Those figures do not tell us who you are.
We do not ask for payment details anywhere on this website. We do not collect special category information such as health or ethnicity, and we do not want it sent through the form. No decision about you is made automatically, and we do not profile you.
Why we use it
We use your information to read and answer your enquiry, and to keep a record that it arrived. Our lawful basis is legitimate interests: you contacted a business about its services and expect a reply, and we need a record so an enquiry cannot be lost.
We use it to arrange and hold a discovery call when you book one. Our lawful basis is legitimate interests, and taking steps at your request before entering a contract.
We use it to protect this website from spam and abuse. Our lawful basis is legitimate interests: keeping the enquiry route open and working for real visitors.
We use analytics to understand how the website is used and improve it. Our lawful basis here is your consent, given through the cookie banner, and you can withdraw it at any time.
Where we rely on legitimate interests we have considered whether it is fair to you. The information stays limited to what you sent, it is used only to respond to you and keep our own records straight, and it is never sold.
We do not send marketing emails, and we do not share your details with anyone for their own marketing.
How long we keep it
Enquiries sent through the form are deleted automatically twelve months after they arrive.
Records showing which confirmation and notification emails were sent are also deleted automatically after twelve months.
Submissions stopped by our spam checks are kept for ninety days and then deleted automatically. We keep them briefly so that a genuine enquiry caught by mistake can be found and answered rather than lost.
The count of recent submissions from one internet address, which exists only to limit how many can be sent in an hour, is discarded within the hour.
Email correspondence in our business mailbox and bookings in our calendar are kept while we are in contact with you and for as long as we need them for our own business records, then deleted.
Who else is involved
We use a small number of established suppliers to run this website. They process information for us under contract and may not use it for their own purposes, except where stated:
- Cloudflare hosts this website and stores the enquiry records described above
- Resend sends the confirmation email to you and the notification email to us
- Google Workspace provides the mailbox where enquiry email arrives
- Cal.com runs the discovery-call booking calendar
- Google Analytics measures how the website is used, and only if you accept analytics
Google also uses information from Google Analytics for its own purposes, which is described in Google's own privacy policy. That is one of the reasons analytics is switched off on this website until you choose to allow it.
We do not sell your information, and we do not share it for advertising.
Where your information is held
Some of these suppliers are based outside the United Kingdom, or hold data on servers in other countries including the United States. Where information leaves the UK we rely on the protections those suppliers have in place, such as the UK International Data Transfer Agreement or Addendum, or the UK extension to the EU-US Data Privacy Framework.
Your rights
You can ask us to:
- Give you a copy of the information we hold about you
- Correct anything that is wrong
- Delete it
- Restrict what we do with it
- Stop using it, where we rely on legitimate interests
- Transfer it to you or another provider, where that applies
You can also withdraw your consent to analytics whenever you like, and that does not affect anything done before you withdrew it.
Making a request costs nothing. Email enquiry@lanternvale.co.uk and we will respond within one month.
Giving us your details is voluntary. Your name, email address and the service you are interested in are the three things we need to answer an enquiry, and without them we cannot reply.
If you want to complain
If you are unhappy with how we have handled your information, please tell us first by emailing enquiry@lanternvale.co.uk. We will acknowledge your complaint within thirty days and tell you what we are doing about it.
You can also complain to the Information Commissioner's Office, the UK regulator for data protection, at any time. Their website is ico.org.uk and their helpline is 0303 123 1113.
